Influencer Marketing: Product Gifting and Shopify Order Fulfillment

Table of Contents

Here is the complete, publication-ready guide formatted for the Sprout Social Influencer Marketing Help Center.

Influencer Marketing: Product Gifting and Shopify Order Fulfillment

Integrating your Shopify store with Sprout Social Influencer Marketing streamlines your product seeding, PR gifting, and creator collaboration workflows.

Instead of juggling spreadsheets, manual discount codes, and disconnected shipping addresses, you can connect your live product catalog to your campaigns. This guide covers how to connect Shopify, how to generate orders via Creator Proposals or Manual Admin Orders, how automated discount codes and warehouse tags work, and how to track shipment statuses.

1. How the Shopify Integration Works

When your Shopify store is connected to Influencer Marketing:

  • Live Product Catalog Sync: Your active Shopify products, sizes, colors, and SKU variants are instantly searchable and selectable within campaigns.

  • Automated 100% Gifting Discount: Orders created through the platform automatically apply a 100% discount code configured in your campaign settings so orders process without requiring payment.

  • Custom Warehouse & Fulfillment Tags: Custom tags (such as SSIM, Influencer Gifting, or VIP PR) are automatically appended to every order in Shopify so your warehouse and 3PL teams can easily filter and fulfill them.

  • Two-Way Tracking Updates: Once an order is fulfilled and a tracking number is added in Shopify, tracking information syncs back to the platform and to the creator's Creator Hub.

2. Choosing Your Gifting Method

Influencer Marketing supports two fulfillment workflows depending on your campaign needs:

Method A: Interactive Creator Selection (Via Proposals)

Use this method when you want creators to pick their own items, apparel sizes, or shades within predefined budget or quantity caps.

Step 1: Configure Gifting Rules in Campaign Settings

  1. In your campaign, go to Campaign Settings → Product Fulfillment.

  2. Select your connected Shopify Store.

  3. Set your selection rules:

    • Max Number of Products: The total number of items a creator can choose (e.g., Up to 3 items).

    • Max Total Price: A monetary cap on the total retail value of selected items.

    • Custom Collections (Optional): Restrict product selection to specific Shopify collections (e.g., Spring 2026 Collection).

  4. Define your Order Tags (e.g., Influencer Seed, Spring Launch).

Step 2: Send the Proposal

  1. In Creator Flow, select the creator and click Send Proposal (or add Product Fulfillment to an existing proposal).

  2. The creator receives an invite link to Creator Hub, where they browse your eligible catalog, select their sizes/variants, enter their delivery address, and submit.

Step 3: Review and Confirm the Order

  1. Once submitted, the creator’s status updates to Needs Confirmation.

  2. Click the Product Fulfillment icon on the creator’s row to review their selections and shipping address.

  3. Click Confirm & Create Order in Shopify.

Method B: Manual Orders (Direct Brand Curation)

Use this method when you are sending pre-selected PR packages, surprise gifts, or bespoke bundles, or when you already have the creator's sizing and shipping address.

Key Benefit: Manual orders bypass the campaign’s Max Price and Max Product Quantity limits, allowing brand managers to assemble custom packages of any size.

How to Create a Manual Order

  1. Navigate to Creator Flow inside your campaign.

  2. Click the Product Fulfillment (box icon) on the creator's row.

  3. Select Create Manual Order.

  4. Search your catalog and click + Add Product for each item. Select specific size, color, and SKU variants from the dropdowns.

  5. Review the Shipping Address:

    • If the creator has a saved address in Creator Hub or a profile custom field, it will automatically pre-populate.

    • If not, enter the recipient name, street address, city, state/province, postal code, and phone number.

  6. Click Submit Order to Shopify.

3. Understanding Fulfillment Statuses

Track the real-time status of your gifting orders across the campaign from the Product Fulfillment column in Creator Flow:

Status

What It Means

Next Steps

Not Shared

No product selection link or manual order has been initiated.

Send a proposal or create a manual order.

Awaiting Selection

The creator has received the proposal link but has not yet chosen their products in Creator Hub.

Send a reminder message or follow up via Creator Flow.

Needs Confirmation

The creator selected their products and submitted their address; waiting on brand sign-off.

Review items in the modal and click Confirm & Create Order in Shopify.

Order Created in Shopify

The order successfully posted to Shopify API. The order is now locked in Sprout.

Fulfillment and tracking are handled by your Shopify warehouse/3PL.

Error

The order failed to create (e.g., out of stock SKU, invalid shipping address, or expired Shopify token).

Click the error alert to view the reason, correct the address/item, and resubmit.

4. Post-Creation Order Management & Edits

  • Order Locking: Once an order moves to Order Created in Shopify, it is permanently locked inside Influencer Marketing to prevent duplicate fulfillment.

  • Modifying or Canceling Orders: If you need to change a shipping address, swap an item, or cancel a shipment after creation, make those adjustments directly inside Shopify Admin (Shopify → Orders → search by creator name or order number).

  • Tracking Synchronization: When your warehouse marks the order as fulfilled and adds a tracking number (USPS, FedEx, UPS, DHL, etc.) in Shopify, the tracking number automatically syncs to Sprout and displays in the creator's Creator Hub dashboard.

Frequently Asked Questions (FAQs)

Why did an order fail with an "Out of Stock" error?

If Shopify inventory tracking is enabled on your store and an item/variant runs out of stock between the time a creator selects it and the time you confirm the order, Shopify will reject the API order creation. Open the manual order modal, swap the unavailable variant, and click Retry.

How do international duties and customs work with gifted orders?

Shopify handles international shipping and customs declarations according to your store's default shipping settings. Ensure your Shopify store has international shipping zones configured if you are shipping gifts to global creators.

Can I delete a completed Shopify order from a campaign?

You cannot delete an order from Sprout once it reaches Order Created in Shopify. If an order was created in error, cancel or archive the order directly in Shopify Admin to prevent your fulfillment center from packing it.

  1. Click Add Delivery Address. In cases where the delivery address is already filled out, it automatically populates. Click Save.
  2. Click Submit.
  3. Review the order and then click Create Order.
