Simplified Roles: Choose Your Access Model
Table of Contents
We've introduced a new setting to simplify how you manage user permissions in your organization. Organization Admins can now choose between Advanced Roles and Simple Roles.
- Simple Roles (Advanced Roles = Off):
- User roles are simplified to just Admin or User.
- All users have access to all campaigns within the organization. This is ideal for smaller teams or organizations that don't require granular access control.
- Advanced Roles (Advanced Roles = On):
- Access works exactly as it did before this update.
- You have access to Global Roles: Manager, Editor, and Viewer.
- Admins can manage which users have which global roles and their access across different campaigns.
How to Manage This Setting:
This new toggle can be managed in:
- Organization Admins: In Organization > Security
- Platform Admins: In Admin > Organization
We've made the names of the core roles in the platform simpler and clearer:
- Role (previously called "Organization Role" or "Global Role") is your overall access level in the organization:
- Manager / Editor / Viewer / No Role / Admin (if Advanced Roles are enabled)
- User / Admin (if Advanced Roles are disabled)
User roles when Advanced Permissions are OFF:
User roles when Advanced Permissions are ON:
Assign a role while inviting a user
- Org Admins can now select the Role when inviting a new user to the org:
- Open the Invite screen from the organization user list.
- Enter the user’s email and any required details.
- Use the new Role dropdown in the invite form to choose the user’s global role:
- Manager / Editor / Viewer / No Role / Admin, when Advanced Role = on
- User / Admin, when Advanced Roles = off
- The user which approves the invite, they join with the selected Role already applied, so they can see and work on campaigns right away.
- If needed, adjust their Teams membership later for more granular, per-campaign permission
